  • CleryEdge System Users: Login activity, error logs, IP address, device type (via Azure App Insights and platform logging tools)

  • Marketing Website Visitors: We use cookies and third-party tools (e.g., Google Analytics) to analyze website usage and support marketing.
  • CleryEdge System Users: We use cookies solely for session management, system performance, and authentication (e.g., Auth0).

6. User-Generated and Transaction Data

Marketing Website Visitors

CleryEdge System Users

  • performance of a contract with the subscribing institution;
  • authorization provided by the institution on whose behalf the user accesses the system; and
  • compliance with applicable legal obligations.

We do not rely on individual consent as the primary legal basis for processing institutional data within the CleryEdge system.

9. Security of Your Information

We implement commercially reasonable safeguards to protect your data. These include encryption in transit and at rest, authentication controls, and access restrictions.

While we strive to protect your personal data, no method of transmission or storage is 100% secure. You are responsible for protecting your login credentials.

In the event of a data breach involving your personal information, we will notify affected individuals and regulatory authorities in accordance with applicable law. Where the breach involves personal data of Texas residents, we will comply with the Texas Data Privacy and Security Act (TDPSA, Tex. Bus. & Com. Code Chapter 541, effective July 1, 2024) notification requirements. Specific notification timelines and obligations vary by incident type and applicable law.

For CleryEdge System Users, data retention and deletion are governed by the applicable Subscription Agreement and incorporated policies, including termination-related retention and deletion timelines.

When data is no longer required, we securely delete or anonymize it.

11. Children’s Privacy

CleryEdge is intended for use by authorized institutional users and is not directed at children under the age of 13. We do not knowingly collect personal information directly from children.

Any student-related data processed within CleryEdge—including data that may relate to individuals under the age of 13 or under the age of 18—is handled solely on behalf of and under the direction of the subscribing institution. Institutions are responsible for ensuring their use of CleryEdge complies with applicable laws governing the collection and handling of data relating to minors, including FERPA and COPPA.

12. Third-Party Disclosures

We may share your personal data with:

  • Our contractors and service providers (e.g., hosting, authentication, analytics)
  • Legal or regulatory authorities when required
  • A successor entity in the event of a merger, acquisition, or asset sale

Third parties we currently use that may process or store personal information include:

  • Aikido Security: vulnerability scanning, security monitoring, and static code analysis
  • Airtable: customer contact and account management
  • Auth0: user authentication and session management
  • AWS Simple Email Service: transactional and bulk email delivery
  • Azure Application Insights: system monitoring and performance logging
  • Google Analytics: marketing website traffic analysis
  • Google Workspace: business productivity and collaboration tools
  • Hostinger: marketing website hosting and company email
  • Microsoft Azure: cloud hosting, database, and infrastructure services
  • Zoho Desk: customer support ticketing and knowledgebase
13. International Transfers

CleryEdge data is hosted primarily in the United States. In limited circumstances, personal information may be processed by authorized service providers located in other jurisdictions.

We take reasonable steps to ensure that any such transfers are handled in accordance with applicable law and consistent with this Privacy Policy.
