  • Our marketing website (www.getcleryedge.com): primarily for prospective customers
  • Our information system (CleryEdge): a secure platform available only to authorized institutional users

Each section of this policy specifies whether it applies to Marketing Website Visitors, CleryEdge System Users, or both.

2. Information We Collect

We collect two types of information: (a) information you voluntarily provide to us, and (b) information collected automatically when you use our websites or services.

  • Marketing Website Visitors: May provide name, email address, institution, or phone number through contact forms. We also collect browsing data through cookies and analytics tools.
  • CleryEdge System Users: May provide name, institutional email, phone number, and role when registering. We also collect system usage logs and data submitted through the CleryEdge platform.
3. Log and Device Data

Automatically collected data includes:

  • Marketing Website Visitors: IP address, browser type, visit duration, page views (via analytics tools)
  • CleryEdge System Users: Login activity, error logs, IP address, device type (via Azure App Insights and platform logging tools)
4. Cookies and Tracking Technologies
  • Marketing Website Visitors: We use cookies and third-party tools (e.g., Google Analytics) to analyze website usage and support marketing.
  • CleryEdge System Users: We use cookies solely for session management, system performance, and authentication (e.g., Auth0).

6. User-Generated and Transaction Data
  • Marketing Website Visitors: If you submit content (e.g., messages or testimonials), it may be published on the site.
  • CleryEdge System Users: Data input through the system (e.g., reports, tasks, assessments) is considered institutional data and may be associated with user accounts.
7. Purpose of Data Collection

We collect and process personal information for the following purposes:

  • To operate and maintain the CleryEdge system
  • To respond to inquiries and provide requested information
  • To support user authentication and account management

  • For internal recordkeeping, audits, and regulatory compliance

Marketing Website Visitors
  • Processing may be based on consent or legitimate interests, such as responding to inquiries and improving our website.
CleryEdge System Users

Processing is primarily based on:

  • performance of a contract with the subscribing institution;
  • authorization provided by the institution on whose behalf the user accesses the system; and
  • compliance with applicable legal obligations.

We do not rely on individual consent as the primary legal basis for processing institutional data within the CleryEdge system.

9. Security of Your Information

We implement commercially reasonable safeguards to protect your data. These include encryption in transit and at rest, authentication controls, and access restrictions.

While we strive to protect your personal data, no method of transmission or storage is 100% secure. You are responsible for protecting your login credentials.

In the event of a data breach involving your personal information, we will notify affected individuals and regulatory authorities in accordance with applicable law. Where the breach involves personal data of Texas residents, we will comply with the Texas Data Privacy and Security Act (TDPSA, Tex. Bus. & Com. Code Chapter 541, effective July 1, 2024) notification requirements. Specific notification timelines and obligations vary by incident type and applicable law.

10. Data Retention

We retain personal information only as long as necessary for legitimate business, contractual, or legal purposes.

For CleryEdge System Users, data retention and deletion are governed by the applicable Subscription Agreement and incorporated policies, including termination-related retention and deletion timelines.

When data is no longer required, we securely delete or anonymize it.

11. Children’s Privacy

CleryEdge is intended for use by authorized institutional users and is not directed at children under the age of 13. We do not knowingly collect personal information directly from children.

Any student-related data processed within CleryEdge—including data that may relate to individuals under the age of 13 or under the age of 18—is handled solely on behalf of and under the direction of the subscribing institution. Institutions are responsible for ensuring their use of CleryEdge complies with applicable laws governing the collection and handling of data relating to minors, including FERPA and COPPA.

12. Third-Party Disclosures

We may share your personal data with:

  • Our contractors and service providers (e.g., hosting, authentication, analytics)
  • Legal or regulatory authorities when required
  • A successor entity in the event of a merger, acquisition, or asset sale

Third parties we currently use that may process or store personal information include:

  • Aikido Security: vulnerability scanning, security monitoring, and static code analysis
  • Airtable: customer contact and account management
  • Auth0: user authentication and session management
  • AWS Simple Email Service: transactional and bulk email delivery
  • Azure Application Insights: system monitoring and performance logging
  • Google Analytics: marketing website traffic analysis
  • Google Workspace: business productivity and collaboration tools
  • Hostinger: marketing website hosting and company email
  • Microsoft Azure: cloud hosting, database, and infrastructure services
  • Zoho Desk: customer support ticketing and knowledgebase
13. International Transfers

CleryEdge data is hosted primarily in the United States. In limited circumstances, personal information may be processed by authorized service providers located in other jurisdictions.

We take reasonable steps to ensure that any such transfers are handled in accordance with applicable law and consistent with this Privacy Policy.

14. Your Rights

Depending on your location and applicable law, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data, subject to applicable legal and contractual obligations
  • Opt out of certain data processing activities

Please contact us to exercise these rights. We will respond in accordance with applicable law. Note that certain rights may be limited where data is processed on behalf of a subscribing institution—in those cases, requests should be directed to the institution in the first instance.

  • The right to know what personal data we collect and why
  • The right to opt out of certain disclosures or data sales
  • The right to request deletion of your personal data

Note that some state privacy laws apply only to businesses meeting specific revenue or data processing thresholds. Our compliance obligations under each state’s law are determined by whether those thresholds apply to our operations.
