CleryEdge subscriptions are licensed on a per-institution basis and are available only to institutions of higher education (IHEs). Separate subscriptions are typically required for each institution within a higher-education system unless a system-level arrangement is approved.

Trip Tracker (Off-Campus Travel Registration)

Register and manage student, faculty, and staff travel including study abroad, athletics, and research trips. Can be used as a stand-alone travel risk management system or alongside any CleryEdge subscription.

Student Housing (Missing Student and Fire Reports)

Create and manage missing student and fire safety reports for institutions with student residence facilities. Can be used alongside any CleryEdge subscription to support Clery Act housing-related reporting requirements.

Single Sign-On (SSO) Integration

Allow users to access CleryEdge using your institution’s existing identity provider for seamless and secure authentication. Can be used alongside any CleryEdge subscription to simplify login and strengthen access controls.

Here are answers to some of the most common questions institutions ask when evaluating CleryEdge. If you don’t see what you’re looking for, just ask.

Was CleryEdge designed specifically for Clery Act compliance?

Yes. CleryEdge was developed in partnership with the National Association of Clery Compliance Officers and Professionals (NACCOP) to support the real-world workflows institutions use to manage Clery Act compliance. The system is purpose-built for Clery reporting and compliance management rather than adapted from a general incident management or law enforcement records system.

Are there monthly or annual use limits?

No. There are no limits on how many people can use CleryEdge or how often they log in, allowing institutions to involve everyone responsible for Clery compliance.

Can I change my tier mid subscription?

Yes. You can upgrade your subscription at any time. Downgrades (for example, Tier 3 to Tier 2) can be made at the start of a renewal period.

Are there additional fees for the modules included in each tier?

No. All modules included in your selected tier are fully available without additional charges. Onboarding assistance and ongoing support are also included. Optional modules—such as Trip Tracker and Student Housing—can be added to any subscription for an additional fee.

Should CleryEdge be used to store Criminal Justice Information (CJI)?

No. CleryEdge is designed for Clery Act compliance workflows and is not a law enforcement records system. Institutions should not store Criminal Justice Information (CJI) in CleryEdge because the system is not designed to meet CJIS security, personnel, auditing, or access control requirements.

How often do you bill customers?

Subscriptions are billed at the start of each term. Customers may pay by wire transfer, credit card or check, and system access begins once payment is received.

How long does implementation typically take?

CleryEdge accounts are created promptly after payment is received and are ready for use once an onboarding meeting is scheduled. In most cases, this occurs within two to three days of subscription activation. For institutions implementing Single Sign-On (SSO), setup timelines may vary depending on the institution’s identity provider, but implementation is typically completed within approximately two weeks.

Do you offer data export or data portability?

Yes. Institutions can export their data from CleryEdge using built-in system tools. We can also assist with providing data exports in standard formats if needed.

Can I see CleryEdge before purchasing?

Yes. We regularly host live demonstrations where you can see how CleryEdge works and ask questions about your institution’s compliance workflows. Or you can request a private demo at a time that works best for your team.

Do you have fixed subscription terms?

Yes. Subscriptions are based on one-year terms beginning when payment is received.

Do you provide materials for IT security or procurement reviews?

Yes. Institutions that have requested a proposal receive access to our security and compliance documentation package, which includes materials commonly requested during IT security and procurement reviews. This includes items such as our HECVAT, VPAT, TX-RAMP certification information, and supporting security documentation.

Are system updates included in the subscription fee?

Yes. Customers receive all CleryEdge updates and improvements at no additional cost as soon as they are released. We continuously enhance the platform based on customer feedback and evolving compliance requirements.

What is the Annual Security and Maintenance Fee?

Each CleryEdge subscription includes a fixed Annual Security and Maintenance Fee. This fee supports cloud hosting, security monitoring and testing, system updates and enhancements, and licenses for required third-party services—helping ensure the platform remains secure, reliable, and continuously improved.

Where is my institution's data stored?

All CleryEdge data is hosted on secure cloud infrastructure in U.S.-based data centers.

Is multi-factor authentication available?

Yes. CleryEdge supports multi-factor authentication (MFA) to help protect user accounts and strengthen login security.

Who owns the data saved in CleryEdge?

Your institution owns its data. You retain full control over who may access it and how it is used.
